Administrative Assistant to the Warren County Educational Endowment (WCEE)


Job Overview

 

The part-time Administrative Assistant is responsible for preparing the agenda, documents, and reports for quarterly meetings. The Assistant is also responsible for check deposits, bank statement reconciliation, and the processing of information for the annual tax report. The Assistant maintains the donor software program, oversees the WCEE website, updates social media, and engages in marketing endeavors. The Assistant also has active involvement in fundraising activities and the grant process.


Job Duties and Responsibilities

 

  • Reports directly to the President of the WCEE and works with all Committee Chairpersons
  • In coordination with the President, Secretary, and Treasurer, prepares agenda and board packets for quarterly meetings
  • Emails board packets to all Directors
  • Attends quarterly meetings, records minutes, and emails minutes to all board members within one week
  • Prepares and distributes the fall solicitation letter
  • In conjunction with board members, solicits involvement and/or donations from community individuals and businesses
  • Processes all mail and pays the annual post office box fee
  • Deposits monies received, retains a copy of each check, and mails thank you letters to donors on a weekly basis
  • Records donation receipts in software program and updates the donor base with names, street addresses, and email addresses
  • Balances monthly bank statements and obtains the Treasurer’s initials on both statements and the reconciliation
  • Writes checks for invoices and has two approved board members sign and initial
  • Interacts with CPA to prepare annual 990 and 1099
  • Prepares “new Director” binders
  • Initiates and is directly involved in fundraising activities
  • In conjunction with the WCEE website administrator, oversees and updates the website, and monitors all online donations
  • Oversees and updates social media
  • Works directly with the Grant Committee Chairperson to support the entire grant process
  • Engages in marketing and public relations strategies and activities
  • Maintains office supplies: postage, printer ink, stationary, envelopes, brochures, checks, deposit tickets
  • Maintains a calendar of work activity


 Hours of Work/Compensation

 

The Administrative Assistant agrees to work an average of 4 - 5 hours per week. These hours are flexible and may be adjusted as needed as mutually agreed upon by the WCEE Board and the Administrative Assistant. The Assistant understands that the workload will be heavier during quarterly meetings, fundraising events, the spring Showcase, and the fall grant process. Compensation will be commensurate with experience.
